Logistics Coordinator

About the role

UJV is a service‑driven team that supports luxury travel advisors worldwide. The Logistics Coordinator – Advisor Partnerships will manage the logistical details behind industry events, familiarisation trips and client‑gifting initiatives, ensuring smooth execution and strong partner relationships.

Key responsibilities

• Organise company participation in networking events, trade shows and conferences, handling invitations, registrations and event materials.
• Coordinate familiarisation (FAM) trips, creating detailed itineraries for flights, accommodation, transport and activities, and using FamGuru for itinerary management and agent communication.
• Collect post‑trip feedback, maintain accurate records of client information, bookings, invoices and financial transactions.
• Support client gifting programmes, including flowers, e‑gift cards and branded items, and assist with year‑end gift purchasing.
• Prepare and manage webinars, including registration, Zoom setup and material distribution.
• Collaborate with the Head of Business Development and Directors on special projects, override tracking, reporting and invoice management.
• Generate production reports from Tableau and other platforms to support account reviews and client meetings.

Required profile

• 2–4 years of experience in coordination, logistics, events or a related field (hospitality, travel or business‑development support is a plus).
• Strong organisational abilities and attention to detail.
• Ability to work closely with internal teams and external partners.

• Tableau for reporting and data analysis.
• Zoom for webinar setup and virtual meetings.
