Reservations Coordinator – Europe

About the role

The Reservations Coordinator supports Destination Specialists and Concierge teams by ensuring bookings are accurate, complete, and aligned from confirmation through travel. This role is critical for maintaining high‑quality itineraries with a strong focus on execution, follow‑through, and detail.

Key responsibilities

• Execute hotel bookings across partner platforms and direct channels with precision, and upload all reservation documents within the itinerary.
• Audit hotel proforma invoices, verify pricing, taxes, and inclusions, and partner with Accounting to resolve payment discrepancies.
• Handle itinerary changes and coordinate adjustments across vendors while keeping internal teams aligned.
• Follow up with vendors to secure timely confirmations, review communications for consistency, and flag any discrepancies.
• Identify and apply post‑booking promotions or added amenities to maximize client value while protecting margins.

Required profile

• 2+ years of experience in travel or hospitality, preferably luxury travel or European destinations.
• Strong attention to detail and ability to catch inconsistencies across bookings, invoices, and communications.
• Highly organized, able to prioritize multiple active bookings in a fast‑paced environment.
• Near‑native English written and verbal communication skills.
• High ownership and problem‑solving ability, capable of navigating ambiguity independently.
