Medical Virtual Assistant – Full-Time Remote

About the role

We are looking for a reliable Medical Virtual Assistant to join our growing healthcare operations remotely. The role involves supporting patient coordination, managing appointments, and ensuring all communications comply with HIPAA regulations.

Key responsibilities

• Schedule and manage patient appointments efficiently.
• Handle inbound and outbound calls for appointment setting and follow‑ups.
• Maintain accurate patient records, documentation, and CRM updates.
• Perform general administrative tasks such as email management and data entry.
• Ensure all communications and data handling comply with HIPAA regulations.
• Coordinate with healthcare providers and internal teams.

Required profile

• Proven experience as a Medical Virtual Assistant or in a similar role.
• HIPAA training or certification (required).
• Strong experience in appointment setting and patient communication.
• Background in administrative support, preferably in healthcare.
• Physical Therapy clinical experience is a strong plus.
• Excellent English communication skills, both spoken and written.
• Highly organized with strong attention to detail.

Required skills

• HIPAA certification.
• Proficiency with EMR/EHR systems and scheduling tools.
• Experience with CRM platforms.
• Familiarity with tools such as Kareo or Athenahealth.
• Ability to multitask and work independently in a remote environment.
