Virtual Assistant - Plumbing Operations

About the role

A plumbing company is looking for a proactive, organized and customer-focused Virtual Assistant with hands-on experience in the plumbing industry and proficiency in Housecall Pro. The VA supports daily plumbing operations by handling customer calls, scheduling service appointments, coordinating technicians and keeping accurate job records. The role suits someone who understands plumbing service workflows and can manage customer communications and scheduling in a fast-paced environment.

Key responsibilities

• Handle inbound calls, answer customer inquiries and give professional advice on plumbing services
• Schedule plumbing appointments according to customer availability, technician schedules and service priorities
• Dispatch technicians to scheduled jobs, ensuring efficient routing and scheduling
• Create and update jobs, manage appointments, keep customer records and track job status in Housecall Pro
• Contact customers to confirm appointments, give updates and follow up on completed or pending services
• Communicate with customers and technicians about schedule changes, delays and urgent requests
• Help with daily reports, recordkeeping, data entry and other administrative tasks
• Maintain accurate job information and well-organized service appointments

Required profile

• Hands-on experience with Housecall Pro
• Previous experience with a plumbing company or within the plumbing industry
• Understanding of plumbing service workflows, job scheduling, technician dispatching and customer service
• Experience handling inbound calls and coordinating service appointments
• Strong written and verbal English, excellent organization and attention to detail
• Ability to multitask, manage changing schedules and work independently
